For the safety and well-being of participants and the public, the City of Palm Bay requires submission of a Special Event Application along with a to-scale Site Plan for both City Owned Property events and Non-City Owned Property events. 

Below is the Special Events Application and Agreement and an optional Site Plan document you may use if you don't have your own Site Plan to submit with the application. If you need further assistance creating your to-scale Site Plan, there is free software available for download simply by doing a google search of "site plan software".

If there is an unauthorized Special Event in the City of Palm Bay, the City Manager or designee shall have the authority to cancel and suspend the Event.

City Co-Sponsorship Information

The City of Palm Bay offers limited co-sponsorship opportunities for qualifying special events. A new policy was adopted by City Council on May 1st, 2025. Applications are reviewed by the impacted city departments, with final approval by the City Council.

Application Window:

  • Fall/Winter Events (October 1st – March 31st): Applications accepted June 2 to July 3, 2025
  • Spring/Summer Events (April 1st – September 30th): Applications accepted November 1 to December 19, 2025.
